Departmental Committees Workflow Process
The workflow process and flowchart for departmental committees, specifically for parties without electronic signatures, are presented below. In general, student-related request forms are available on the websites of the Faculty and the Directorate of Student Affairs (https://oidb.bakircay.edu.tr/Sayfalar/3688/formlar-oidb). The Faculty Dean's Office collaborates with the Smart University and Digital Transformation Coordination Office, and the process of digitizing all forms is currently ongoing.
1) The student downloads the appropriate form for their request from the Faculty/Student Affairs website, fills it out, and signs it.
2) The academic advisor reviews the student's request and approves the relevant form with a wet signature.
3) The form signed by both the student and the academic advisor is submitted by the student to the department secretary.
4) The department secretary scans the form to digitize it and forwards it to the relevant department committee chair and members for evaluation, depending on the content of the form.
5) The departmental committee submits its final decision, including the initials of the committee members and the signature of the committee chair, to the department head.
6) With the initials of the vice heads and the signature of the department head, the related committee decision is submitted to the faculty secretary.
7) Depending on the nature of the request, the faculty secretary presents it to the Faculty or the Faculty Executive Board as an agenda item.
8) The issue discussed at the Faculty/Faculty Executive Board is finalized and communicated to the student and their advisor.
